Case Study: Employer Branding for Barnt Green Travel Lounge

Background
Barnt Green Travel Lounge is an Independent Retail Travel Agent based in Barnt Green; their small, dedicated team works hard to ensure any holiday or travel arrangements are to the customers’ requirements. They offer a bespoke personal service in a relaxed and welcoming store.
It was identified there was a need for a:
Review of your current contract for services and update as necessary ensure it is legally compliant and fit for purpose
Create a bespoke culture book to help the team understand more about the business and their role
Initial Findings
Our review of the existing contractor agreement highlighted several areas that could be strengthened to better support the business and its contractors:
Termination Provisions:
We helped them to clearly define the notice periods and outline the process for ending the contract so they could manage transitions or unexpected changes more easily.
Tax and Employment Status :
We supported them to ensure they had clear references to contractor tax responsibilities, IR35 status, and how the business distinguished contractor roles from employment. This information helps to avoid confusion and supports regulatory alignment.
Insufficient Data Protection Wording:
We strengthened their references to data protection responsibilities, including GDPR compliance and handling of sensitive client data to help them maintain high standards of trust and professionalism.
Data Protection Coverage:
A single clause loosely referred to responsibility for “financial mistakes” without defining what constituted an error, liability limits, or a process for addressing disputes.
Financial Clause:
We reviewed all existing clauses to ensure clarity and robustness reducing any potential risk.
Actions Taken
Limelite provided a structured, two-phase solution:
Contract Review and Redraft
We worked to:
Add clear termination provisions, including standard notice periods, immediate termination for breach, and mutual termination rights.
Clarify contractor status, responsibilities for tax, and confirmation that the contract is outside of IR35 (where applicable).
Insert a robust data protection clause, setting out GDPR responsibilities, security protocols, and liability for data breaches.
Rewrite the financial clause to define:
What constitutes a financial error,
The contractor’s responsibilities,
The process for rectification and recovery,
Caps on liability in line with best practice.
Expanded on membership fees payable detailing what they related to and how often they were to be paid.
All wording was written in accessible language to reflect the client’s informal but professional tone.
2. Visual Guide for Contractors
To support onboarding and ensure understanding, we created a 9-page visual guide for contractors, covering:
About us and what services we offer
How to invoice and what’s required
Key contract highlights (including termination, and data protection)
Contractor responsibilities
This guide was designed with the clients branding and tone of voice, making it easy to read and share with new contractors
Results & Benefits
Compliance achieved with employment, tax and data protection law
Reduced legal and reputational risk for the client
Improved contractor experience, thanks to clear expectations and support material
Better internal consistency with standardised processes for managing contract start and end points.
